Cosplay Meet-ups are a great opportunity for fans to celebrate their favorite characters through Cosplay. Fans within the community will have the opportunity to apply to host a Meetup, which will provide a time slot on our official schedule for a specific fandom to meet. During the Meet-up, the host will coordinate taking photos of all participants, as well as coordinate how they will get those photos to the participants. Further guidelines for all Cosplay Meetup participants and guidelines for Cosplay Meetup hosts are below.

 

 

Cosplay Meetup applications will be open from October 4th, 2024 until January 3rd, 2025. While we will aim to hold as many meetups as possible at the convention, not all meetups will be accepted due to space and availability. We will do our best to hold as many as possible, especially meetups that are highly suggested.

Guidelines for Cosplay Meetups

Setsucon cannot wait to see all the amazing cosplays that show up to the meetups! When attending a meetup, please note the following rules:

  • All Cosplays must adhere to Setsucon’s Cosplay Policy.
  • To ensure access to areas before and after Meetups, please do not start gathering sooner than 15 minutes before your time slot.
  • Meetups are not 18+, so keep things family friendly.
  • Please stay within the Photo Spot area while participating, the section will be marked off. This will lessen any issues with walkways remaining open.
  • Once your time slot comes to an end, please vacate the Photo Spot.

Guidelines for Hosting a Cosplay Meetup

When running a meetup, please note the following rules:

  • Please arrive at least 5 minutes before your scheduled meetup time.
  • Inform all meetup participants how you will be distributing photos at the beginning and at the end of the photoshoot.
  • Come prepared with an idea of what pictures you want done, such as specific characters, character combinations, etc.
  • If your meetup surpasses capacity, please inform the Cosplay Department in Cosplay HQ.
  • Photos must be distributed to participants before the end of the day Sunday, February 9th, 2025. This will ensure everyone that would like photos received them in a reasonable time frame.

This application, and the contents held within, shall be used by our Cosplay Team to review your suggested meetup. Please ensure that you read all policies and information ahead of applying, as submitting an application binds you to these policies.
